Our Registrar's Office at Chirchik State Pedagogical University ("Registrar's Office") is dedicated to providing comprehensive and efficient services to all of our students. Established in accordance with the Chirchik State Pedagogical University Order (Order No. 01-48) dated March 4, 2025, our office operates to ensure that each student's academic process is seamless and transparent.

The Registrar's Office is a department established at the university to coordinate administrative and academic processes related to students. The main tasks of the office are to admit students, maintain their personal and academic information, issue orders related to the educational process, as well as prepare diplomas and other official documents for graduates.

The activities of the registrar's office are carried out in two directions:

Front office – providing direct services to students and applicants;

Back office – systematic maintenance of internal documents, databases, and academic processes.

Student Services Sector (Managers – 2)
  • providing information on class schedules;
  • issuing academic certificates and transcripts;
  • providing examination schedules;
  • assisting with applications for transfer and reinstatement of studies;
  • providing students with certificates on their GPA;
  • resetting students’ passwords in the “HEMIS” information system.
Research and Innovation Services Sector (Managers – 2)
  • providing information on grants and competitions;
  • assisting with the registration of innovative ideas and startups;
  • providing information to students about named scholarships;
  • offering consultations on research projects;
  • assisting with membership in the “Mentor–Apprentice School”;
  • providing information and practical assistance regarding scientific clubs for students.
Accounting and Marketing Services Sector (Managers – 4)
  • determining, calculating, and providing tuition fee amounts, as well as assisting with submitting applications to obtain tuition fee contracts;
  • determining and approving re-study fee amounts for students with academic debts, and assisting with submitting applications to obtain contracts for re-enrollment.
International Relations and Academic Mobility Services Sector (Managers – 2)
  • issuing certificates of study in English;
  • registering admitted international students in the electronic system and assigning them to courses;
  • providing information on the “El-Yurt Umidi” Foundation scholarship competitions for studying abroad and other international announcements;
  • providing students with information about higher education institutions ranked in international rankings (QS, THE, GreenMetric).
Statistics Management Sector (Managers – 4)
  • analyzing statistical data on students’ progression between academic years, expulsion, and academic leave;
  • consolidating statistical data on students recommended for transfer and reinstatement;
  • preparing statistical information on university activities based on requests and inquiries;
  • maintaining report forms submitted by the university to the Statistics Agency;
  • analyzing the accuracy of statistical data entered into the “HEMIS” information system.
Academic Process Coordination Sector (Managers – 4)
  • identifying students with academic deficiencies;
  • forming academic groups;
  • organizing re-study for students (creating subject groups, class schedules, and assessment schedules, and reviewing applications);
  • entering student data into the system;
  • coordinating and formalizing student movements (expulsion, retention, transfer, academic leave, return from academic leave, and reinstatement);
  • consolidating and analyzing students’ academic performance indicators;
  • creating and updating student databases;
  • monitoring student attendance through the “HEMIS” system.
Student Records Management and Storage Sector (Managers – 2)
  • uploading extracts from orders to the student database for students who have changed their surname, taken academic leave, changed their field of study or faculty, been retained in the same academic year, or expelled;
  • delivering all required documents to students expelled due to transfer to another higher education institution;
  • issuing strictly accountable document forms (diplomas, diploma supplements, academic certificates, and others);
  • organizing the receipt, storage, and issuance of strictly accountable blanks (diploma blanks, academic certificates, diploma supplements, and others).
